Overview and purpose
The Vortex IQ Gmail integration connects your Gmail account to the Vortex IQ platform so you can work with business email through an AI-powered chat interface.
Use the integration to find and summarise relevant conversations, prepare drafts and replies, send requested messages and organise your mailbox. Supported settings and filter actions help users manage their own email workflow.
Data access and actions
When you authorise the connection, Vortex IQ requests the following Gmail permissions:

Depending on the task, accessed data can include sender and recipient addresses, subjects, timestamps, message bodies, relevant attachments, draft content, labels and the settings or filters involved in your request.
Both permissions above are restricted scopes under the Google API Services User Data Policy. They are requested only for the mailbox features described on this page.
How actions are controlled
Reading and processing email supports the tasks you request. Sending messages, changing mailbox organisation and modifying settings or filters require your authorisation. Connecting Gmail alone does not authorise unsolicited messages or unrelated mailbox changes.
Review the intended recipients and message content when authorising a send action. If you configure a supported recurring workflow, its actions must remain within the instructions and permissions you authorised.
How to connect
- Open the Gmail connection in your authenticated Vortex IQ workspace.
- Sign in with the Google account you want to connect.
- Review and authorise the requested Gmail permissions.
- Return to Vortex IQ and request an email task through the interface.
How data is used
Email content, message metadata, drafts, labels and settings are processed to fulfil the email tasks you request. Relevant message content may be processed by AI service providers to generate a requested summary or draft.
Google user data is not sold or used for unrelated advertising. Service-provider processing is limited to delivering the authorised functionality, as described in our Privacy Policy. Google user data is not used to train general-purpose AI models.
Security and Limited Use
Connections use Google OAuth 2.0 to authorise access without sharing your Google password with Vortex IQ. Access is limited by the permissions you grant and your access rights in the connected Google account.
Vortex IQ’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Data retention and user control
Connection credentials and data needed for authorised functionality may be retained while you use the integration. Our Privacy Policy explains storage, retention, service-provider processing and deletion.
You can revoke Vortex IQ’s access at any time through your Google Account connections. Revoking access prevents further authorised access to the connected service. It does not itself delete data already stored by Vortex IQ. To request deletion of stored integration data, contact helpdesk@vortexiq.ai.
Who can use it and how to get help
This integration is for authenticated Vortex IQ users, including ecommerce merchants, marketing teams and agencies working with platforms such as BigCommerce, Shopify and Adobe Commerce. The full connector catalogue is listed in the integrations hub.
